Registration Hold Transcript Release Guidance

Pursuant to the Colleges’ Registration Hold Policy, if a student is not in Good Standing due to an unfunded balance, the College will place a hold on the student’s registration for the next available subsequent term(s) (registration hold) until the student returns to Good Standing.  

When a student is placed on a registration hold, they may not be eligible to receive official or unofficial transcripts or evidence of academic program completion. 

If a student who is placed on a registration hold for an unfunded balance submits a request for an official or unofficial transcript, or evidence of academic program completion for use with employment or professional licensure testing certification, then the following guidelines shall apply: 

Student requests will require an evaluation and approval by the Registrars’ office or Registrar and Director of Finance on a case-by-case basis to identify a mutually agreeable solution. The Registrar’s office should use good judgment to provide reasonable accommodation for the student while helping students meet their obligations to the college. 

1. For students owing less than $500, the Registrars’ office or SSE may grant a one-time exception to send an official or unofficial transcript or verify graduation; however, the student shall remain in the registration hold group, for any subsequent secondary requests for an official or unofficial transcript, or evidence of academic program completion. 

2. For students owing more than $500, any accommodation would require an evaluation and approval by the Registrar and Director of Finance of a mutually agreeable solution (e.g., the student agrees to a reasonable payment plan and adheres to the plan for 3 months; the student makes a meaningful effort to pay their outstanding balance; etc.). If the student has previously demonstrated abuse of ACE’s policies and reasonable accommodation in the past, then they may need to pay their balance down below $500 before an exception can be granted. The student shall remain in the registration hold group for any subsequent secondary requests for an official or unofficial transcript or evidence of academic program completion.
