Public Information


 

Required Information for Students and the Public  

To ensure that American College of Education’s College required information for students and   the public is fair, accurate and complete, and in compliance with the Higher Learning  Commission’s (HLC) Public Information Policy FDCR.A.10.070 all publications that contain   required information about the College’s calendar, grading, admissions, academic program requirements, tuition and fees, and refund policies must be reviewed and updated in a regular and timely fashion for accuracy and transparency as appropriate.  

 

Procedure:  

Publications that contain required information include but are not limited to, the College Catalog,  student handbooks, and other publications that include, information about the institution’s  calendar, grading, admissions, academic program requirements, tuition and fees, and refund  policies. 

This policy is not inclusive of advertising and recruitment materials. These materials are subject to the Advertising and Recruiting Materials and Other Public Information policy.  

  1. Publications that contain required information will be reviewed through the designated system as scheduled or as required by changes to state or federal rule, or accreditor or regulatory body standards to ensure accuracy of content, and proper disclosure. 

2. Updates to the academic and institutional policies contained in College publications are also necessary as needed to reflect changes to academic or institutional policies including new program offerings and availability, tuition and fees, admissions information, academic calendars, grading requirements, and other required information for students and the public.  

3. Final approval from the College’s Senior Vice President of Academic Affairs, and the Office of Regulatory Affairs and Compliance or the College President or Chief Financial Officer must be noted prior to the release of publications that contain the required information. 

4. Updates to College publications that contain required information must be posted on the College’s public website for prospective students and public review and posted in the student and faculty commons area for current students and faculty upon publication date.  

5. A College-wide update notice may be provided as notification of specific updates to College publications.  

6. Archive copies of revisions, updates, or republications must be archived by date of publication within the applicable system or department of review and publication for later retrieval for required reviews, or later alteration pursuant to the above process. Archived materials will be maintained and or disposed of pursuant to the College’s records retention/destruction policy.

 

Advertising and Recruiting Materials and Other Public Information 

To ensure that American College of Education advertising and recruiting materials and other public information provided to current and prospective students about its programs, locations, and policies are accurate, timely and appropriate, and in compliance with the Higher Learning Commission’s (HLC) Public Information Policy FDCR.A.10.070, all student and public advertising and recruiting materials must go through a systematic routine review and sign-off process before released or posted to the public. 

Procedure: 

Advertising and recruiting materials including all materials that are produced and publicized for consumer use including but not limited to, brochures, College public web page copy, student announcements and emails, and College announcements to the public or other materials as related to the College’s offerings that are not inclusive of the required information as described above. College and program advertising materials will be reviewed for accuracy of content, proper disclosure as required by law or rule, and for compliance with state Board Agency and/or accreditor criteria or standards as applicable. 

Advertising and recruiting materials must receive final approval from the College’s Director of Marketing, if applicable, a subject matter expert as needed such as the Department Chair, and the Office of Regulatory Affairs and Compliance prior to release or use. This process would also apply to advertising materials provided to, or developed by, any College contracted third-party advertising partner. This policy is not inclusive of Catalog, student handbooks, and other publications that include, information about the institution’s calendar, grading, admissions, academic program requirements, tuition and fees, and refund policies. These materials are subject to the Required Information for Students and the Public policy. 

 

 (A). The initiator receives approval from the College’s Director of Marketing to submit material for review including. 

  • initiator information, 
  • description of the request and proposed effective date, and 
  • copy of specific advertising and recruiting material for review and approval 

(B). If applicable, review requests shall be routed to the applicable subject matter expert. 

  • the identified SME(s) may approve or request alterations from the initiator. An alteration request must be subsequently reviewed and acknowledged by the identified SME(s) before routing proceeds 

(C). Review request shall then be routed to the Office of Regulatory Affairs and Compliance (ORAC). 

  • ORAC may approve or request alterations from the initiator. An alteration request must be subsequently reviewed and acknowledged by ORAC before posting for students or the public. 

(D). The review request and a copy mark-up and copy of final document/advertisement, and approval signatures or acknowledgments must be archived for later retrieval for required. Archived materials will be maintained and or disposed of pursuant to the College’s records retention/destruction policy.
